Oceans Ventures Uses Wing to Organize and Enrich Deal Data in their CRM

Oceans Ventures delegates their deal data entry and data enrichment tasks to Wing Assistant, freeing up time for their key personnel and enabling more efficient pre-deal data analysis for their team.
Oceans Ventures is a New York-based venture capital firm founded in 2018.
They manage a small, yet highly efficient team that works in close coordination with each other. There’s hardly any excess resource, and all members share core responsibilities, no matter how tedious or repetitive they are.
CRM data entry, however, is one activity that evolved into an administrative burden as Oceans grew, particularly for Managing Partner and Cofounder Sara Barek.
Sara, along with their Client Service Analyst Henry Caballero, spent many hours every week verifying and entering deal data into their CRM.

Oceans Ventures is a team of mentors and early-stage investors redefining venture capital funding. The company was founded in 2018 and is focused on giving startups the hands-on guidance they need.
Oceans focuses on tech startups, headquartered in New York, specifically ones in the pre-seed and seed stages. The firm invests in SaaS, digital health, climate, education, web3, marketplaces, and fintech companies.

Optimizing Internal Processes

As they raised a new fund, Oceans Ventures started thinking about optimizing internal processes and identifying tasks and responsibilities that required considerable effort from team members.
CRM data entry and associated research were easily identified as an area taking up too much of their effort and yet, seemed easy to delegate.
Oceans decided that they need an assistant who can analyze preliminary deal data, perform basic research, and enter data into Affinity, their CRM.
According to Sara, they asked themselves, “How do we get [to our milestones]? What are goals, and what are non-goals? What are things that take time but aren’t important?”

As they often do when they need a solution, Oceans tapped into their network to learn how they solve similar problems.
And they didn’t have to look far. One of their portfolio companies, a Wing user, encouraged Oceans Ventures to try it out.
During the initial planning call, Sara and her Wing CSM produced a detailed document outlining the company’s needs and the tasks that need to be done by their assistant.
Sara, Meet Your Wing Assistant
Bipin is a Wing Assistant who has experience and training in digital marketing and library systems management.
And he is an excellent fit for Oceans Ventures.
Sara assigned the following responsibilities to Bipin:
  1. Enter all deal data into the CRM
  2. Verify key data points such as the location of companies or the industries they serve
  3. Enrich deals/incomplete applications by collecting and recording publicly available data
Outcome
Oceans Ventures now has a more organized relationship management platform.
The firm now has better data accuracy. Higher data accuracy at input ensures better compliance. Since Bipin can sift through preliminary deal data and correct these if necessary, Sara will have better deal information for the screening process.
Over time, Bipin has become proficient in enriching Oceans Ventures’ data. He can do basic research and find key data points that are not readily available, enabling Oceans Ventures to have a more comprehensive view of deals or leads.
And Sara has more time to focus on operations and growth.

“[Bipin] takes in specific information that we are looking for-we are very prescriptive about what information we need that helps us make decisions faster and helps us narrow the funnel,” said Sara. “Now we know what to pay attention to, and what to quickly ignore,” she added.
